Terms of Service

Your agreement with Flobase for using the platform and its modules.

1. Acceptance of these terms

By creating a Flobase account or using any part of the Flobase platform, you agree to be bound by these Terms of Service ("Terms"). If you are accepting on behalf of a business, you confirm that you have the authority to bind that business to these Terms.

If you do not accept these Terms, you must not create an account or use the service.


2. The service

Flobase is a modular SaaS platform for UK trade businesses, operated by Flobase (sole trader, based in Cambridgeshire, England). The platform currently comprises the following modules:

  • Siteflo — service contract management
  • Quoteflo — quoting and estimate management
  • Jobflo — job and task management
  • Cashflo — financial tracking and reporting
  • Adflo — Google Ads management and analytics

You subscribe to one or more modules. Not all modules may be available to all customers. We may add, change, or retire modules as the platform develops — where we make a material change we will give reasonable advance notice.


3. Your account

You are responsible for:

  • Keeping your login credentials confidential and not sharing them with anyone outside your business
  • All activity that takes place under your account
  • Ensuring anyone you add as a user on your account complies with these Terms
  • Providing accurate account information and keeping it up to date

You must notify us immediately at info@flobase.co.uk if you become aware of any unauthorised access to your account.

Each account is for a single business. You must not use your account on behalf of, or share access with, unrelated businesses or individuals.


4. Subscriptions and payment

Flobase subscriptions are billed monthly or annually, as selected at checkout. All prices are shown in GBP and are exclusive of VAT unless stated otherwise.

Payment is processed by Stripe. By subscribing, you authorise Stripe to charge your payment method on a recurring basis at the applicable subscription fee. You are responsible for ensuring your payment details remain current.

If a payment fails, we will notify you and allow a short grace period to resolve the issue. If payment is not received within that period, we may suspend access to your account until the outstanding amount is settled.

Annual subscriptions are billed upfront for the full year. Monthly subscriptions are billed on or around the same date each month.


5. Free trials

We may offer a free trial period at our discretion. A free trial provides full access to the selected module(s) for a limited period at no charge. At the end of the free trial, a subscription fee will become payable unless you cancel before the trial period ends.

We reserve the right to modify or withdraw free trial offers at any time without notice.


6. Cancellation and refunds

You can cancel your subscription at any time from within your account settings. Cancellation takes effect at the end of your current billing period, and you retain access to the service until then.

We do not offer refunds for unused portions of a subscription period, except:

  • Where required by law — for example, your statutory right to cancel within 14 days of first subscribing, provided you have not made significant use of the service during that period
  • At our sole discretion in exceptional circumstances

If you cancel an annual subscription within 14 days of first subscribing and have not made significant use of the service, you may request a full refund by emailing info@flobase.co.uk.


7. Acceptable use

You must use Flobase only for lawful business purposes. You must not:

  • Use the service to process or store data in a way that violates any applicable law or regulation
  • Attempt to gain unauthorised access to any part of the platform or its underlying infrastructure
  • Introduce malware, viruses, or any other malicious code into the platform
  • Use the service to infringe the intellectual property rights of any third party
  • Resell, sublicense, or otherwise provide access to the service to a third party without our prior written permission
  • Scrape, extract, or replicate the platform's features or data by automated means
  • Use the service in a way that degrades performance or availability for other users

We may suspend or terminate your account without notice if you breach these conditions.


8. Adflo and Google Ads

The Adflo module provides tools to help you connect to, monitor, and manage your Google Ads account. The following terms apply specifically to Adflo:

You remain in control of your Google Ads account

You retain full ownership of and responsibility for your Google Ads account at all times. All Google Ads spend is billed directly between you and Google — Flobase does not hold or control your advertising budget.

No changes without your approval

Flobase may surface recommendations or suggested optimisations within the platform, but no changes will be made to your Google Ads campaigns, bids, or settings without your explicit action. You are responsible for reviewing and approving any changes before they are applied.

Compliance with Google's policies

You are solely responsible for ensuring your use of Google Ads complies with Google's advertising policies and applicable UK advertising regulations, including the CAP Code.

No guarantee of advertising performance

Flobase is not a Google Ads agency and does not provide regulated advertising services. We provide software tools to help you understand and manage your advertising. We make no guarantee of advertising results, return on ad spend, lead volumes, campaign performance, or any other outcome. Results depend on many factors entirely outside our control, including your industry, competition, budget, and ad quality.

Adflo tracker and visitor consent

If you use the optional website analytics tracker provided by Adflo, you are the data controller for visitor data collected on your website. You are responsible for obtaining appropriate consent from your visitors in accordance with UK GDPR and the Privacy and Electronic Communications Regulations (PECR). 9. Intellectual property

Flobase and its modules — including all software, design, content, and branding — are owned by and remain the intellectual property of Flobase. We grant you a limited, non-exclusive, non-transferable licence to use the service for the duration of your subscription, for your own internal business purposes.

You must not copy, modify, distribute, or create derivative works from any part of the Flobase platform without our prior written consent.

You retain full ownership of the data you enter into the platform — your customer records, job data, financial records, and any other content you create or upload. We claim no rights over your business data.


10. Your data

In summary:

  • We do not sell your data
  • We do not use your data for advertising to third parties
  • We do not share your business data with other Flobase customers

On cancellation of your account:

  • You can export your data from within the platform at any time before cancellation
  • We will retain your data for 30 days after cancellation in case of any queries or disputes
  • After 30 days, your account data will be permanently deleted from our systems
  • Billing and payment records will be retained for 7 years for legal and tax compliance

11. Service availability

We aim to provide a reliable and available service. However, we do not offer a formal uptime guarantee for current subscription plans. Scheduled maintenance will be carried out with reasonable advance notice where possible.

We are not liable for losses arising from service downtime, data loss caused by technical failures, or unavailability caused by circumstances beyond our reasonable control (including internet outages, third-party infrastructure failures, or force majeure events).


12. Disclaimers

The service is provided "as is" and "as available". To the fullest extent permitted by law, Flobase excludes all warranties, representations, and conditions — whether express or implied — including any implied warranty of fitness for a particular purpose or satisfactory quality.

Nothing in these Terms excludes or limits our liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited under the laws of England and Wales.


13. Limitation of liability

To the maximum extent permitted by law, Flobase's total liability to you arising out of or related to your use of the service will not exceed the total fees you paid to Flobase in the 12 months immediately preceding the event giving rise to the claim.

In no event will Flobase be liable for indirect, incidental, consequential, special, or exemplary damages — including loss of profit, loss of revenue, loss of business opportunity, or loss of data — whether arising from contract, tort (including negligence), or otherwise, even if we have been advised of the possibility of such damages.


14. Termination

We may suspend or terminate your access to the service if:

  • You breach any of these Terms and fail to remedy the breach within 7 days of written notice from us
  • You fail to make payment when due and do not resolve this within the grace period
  • We are required to do so by law or by a regulator
  • We reasonably believe your use of the service poses a security risk to other users or our systems

On termination for breach, we may delete your data immediately. In all other cases, we will follow the data retention procedure set out in section 10.

You may terminate your account at any time by cancelling your subscription within your account settings. If you wish to request immediate deletion of your data, contact us at info@flobase.co.uk.


15. Governing law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or relating to these Terms or your use of Flobase will be subject to the exclusive jurisdiction of the courts of England and Wales.


16. Updates to these terms

We may update these Terms from time to time. We will notify you of material changes by email to the address associated with your account, and by updating the "last updated" date on this page. We will give at least 30 days' notice of significant changes where possible.

Continued use of the service after the effective date of any changes constitutes your acceptance of the revised Terms. If you do not accept the revised Terms, you may cancel your subscription at any time.
